Where the story begins

StudentStay offers modern student housing: comfortable, fully furnished flats close to the university. Managing hundreds of units calls for overview and structure, from the first application to the monthly invoice. To keep up with that as the organisation grew, StudentStay invested in a system that automates the day-to-day work.

Manual admin that couldn't keep up with growth

The more StudentStay grew, the more admin came with it. Applications, approvals, payments, invoices: much of it was done by hand. Every new tenant meant entering details, checking payments and preparing an invoice. With a handful of properties that's manageable. With hundreds it adds up, and time goes into work that's the same every time. The rental process needed more oversight and structure, so the team could focus on the quality of the living experience rather than the admin around it, even as the organisation kept growing.

A backend linked to Exact Online for the whole rental process

We built a new backend system and connected it to StudentStay's Exact Online environment. That connection is the core of it: a booked room becomes a tenant in the system, and a payment lands against the right invoice, without anyone entering the same details twice. Tenants, payments and invoicing all run with little manual input. On top of that, the platform brings fines, maintenance requests and communication together in one place, so the team no longer has to switch between separate systems. And because we kept working through an open ticket system and short check-ins, the platform could grow easily alongside whatever StudentStay needed next.

The rental process largely automated

Since launch, most of the rental process runs automatically, from student application and approval to monthly payment and invoice. Only the screening of new tenants is kept manual, on purpose. That makes the process faster and more reliable, with less workload and steadier occupancy. And StudentStay keeps extending the platform, on a base that grows with it.
